This policy explains what information we collect, what we use it for, how long we keep it, and your rights over that information, in line with the 2025 Law on Personal Data Protection and its guiding documents.
1. Information we collect
When you send the Book a consultation form, we receive the information you fill in yourself: your full name, phone number, email (if you give one), the problem you would like to be seen for, the time you would prefer to come, and any further description. The form can only be sent once you tick the box to agree to this policy.
Any symptoms or health conditions you write in the description are sensitive personal data. We do not require you to provide them. If you do, they are used only to help the doctor prepare for your visit, and they are kept confidential like a medical record.
When you read the website, the server records ordinary technical information (IP address, browser type, pages viewed) to run the site, block spam and keep it secure. The website also uses Google Analytics for visit statistics in aggregate form, such as the number of visitors, most-viewed pages, traffic sources, device types and approximate region. Google Analytics places an analytics cookie in your browser. We do not use this data to identify individuals and do not link it to the information you enter in the booking form. The website uses technical cookies to load pages faster.
2. How we use it
- To contact you to confirm and arrange your appointment, and to answer your questions.
- To remind you of your appointment, or to tell you about changes to our working hours that affect your appointment.
- To run and protect the website, and to gather visit statistics so we know which content people care about and can improve the website.
We do not sell or rent your information, and we do not use it for third-party advertising.
3. Storage and retention
Booking requests are stored temporarily on the website server (Hostinger hosting service). They are then transferred automatically to the management software kept at the clinic and deleted from the website immediately after the transfer. Only the staff responsible for receiving requests can see them.
If a request has not yet been transferred, it is still automatically deleted from the website after 7 days, counted from when it was sent. If you come for a visit, the information needed is moved into your medical record at the clinic and kept in accordance with the regulations on medical records.
We provide information to government authorities only when they make a lawful request in accordance with the law.
4. Outside services on the website
- Google reviews: the reviews panel on the home page is provided by Trustindex. When the page loads, your browser connects to Trustindex’s servers (sending technical information such as your IP address) to display the reviews.
- Google Maps, Zalo, Facebook: when you click these buttons or links, you move to that company’s service, and the handling of your data follows its own policy.
- Google Analytics: Google’s visit-statistics service. When a page loads, your browser sends technical information (device type, pages viewed, approximate region) to Google. You can opt out by turning off cookies in your browser or by installing Google’s opt-out add-on at tools.google.com/dlpage/gaoptout.
5. Your rights
You have the right to ask to see, correct or delete the information you sent, to withdraw your consent, or to object to the processing of your data. Please contact us by phone or email, using the details below. We reply within 72 working hours.
6. Security
The website uses an encrypted HTTPS connection, the form has anti-spam protection, and administrator accounts are limited and protected with strong passwords. Even so, no way of sending data over the Internet is completely secure. If we find an incident that affects your data, we will notify you and deal with it as the regulations require.
